Using Tchalo
General terms and conditions
These terms and conditions set forth the rules governing reservations and the use of Tchalo Work Lounge’s spaces and services.
1. Purpose and Scope
These General Terms and Conditions, hereinafter referred to as the “GTC,” govern the relationship between Tchalo Work Lounge Sàrl, located at Avenue Maria-Belgia 2, 1006 Lausanne, and any person who reserves or uses its spaces and services, hereinafter referred to as the “Customer.”
Tchalo is a hybrid workspace that combines coworking, a café, and a lounge. The services offered may include, among others:
- access to the coworking space by the hour, half-day, or full day;
- passes and memberships
- rental of the meeting room;
- the privatization of all or part of the site;
- the use of pay phones, related equipment, and services.
By making a reservation or using Tchalo’s facilities, the Customer confirms that they have read and accept these Terms and Conditions.
2. Reservation and Conclusion of the Contract
Access to Tchalo requires a prior reservation, including for one-time visits, trial passes, memberships room rentals.
Reservations are made on the platform provided by Tchalo. The Customer must provide accurate, complete, and up-to-date information when creating an account and making a reservation.
The contract is concluded once the reservation and, where required, the payment have been confirmed. A confirmation message or email is then sent to the Customer.
Availability, schedules, prices, cancellation policies, and details displayed at the time of booking are an integral part of the contract and take precedence in the event of any discrepancy with older information published elsewhere.
Reservations are personal. They may not be transferred or resold without Tchalo's prior consent.
3. Prices, Payments, and Billing
Prices are listed in Swiss francs. The applicable amount is the one displayed at the time of booking.
One-time services are generally paid for at the time of booking. The available payment methods are those offered on the platform at the time of ordering.
memberships billed according to the frequency specified at the time of subscription. The Customer authorizes the recurring charge of the corresponding amount until theMembership is canceled.
In the event of a missed or delayed payment, Tchalo may suspend the reservation,Membership access to the venue until the matter is resolved.

4. Access to the venue
Tchalo operates largely on its own. A permanent staff presence or reception service is not guaranteed.
Access is granted through the Tapkey app or any other access system provided by Tchalo.
The usual hours are:
- Monday through Friday;
- A la carte service: 9:00 a.m. to 5:00 p.m.;
- Access with certain memberships 8:30 a.m. to 5:30 p.m.
Special hours may apply on holidays, during temporary closures, events, or private bookings. The hours listed on the platform at the time of booking are final.
The Customer may enter, leave, and return during the duration of their reservation, provided that their access is still valid.
The Customer must vacate the premises no later than the end of the reserved time slot. In the event of a delayed arrival, the original end time remains unchanged.
5. Digital Access and Tapkey
To access Tchalo, the Customer must have a compatible smartphone, download the Tapkey app, and use the same email address provided when making the reservation.
The digital key is personal and must not be shared with a third party. The Customer is responsible for maintaining the confidentiality of their account, phone, and means of access.
In the event of loss, theft, a change of phone, account compromise, or access issues, the Customer must notify Tchalo immediately.
In particular, the Customer must ensure that their phone is sufficiently charged, that Bluetooth is turned on, and that the necessary app is installed before their arrival.
Tchalo cannot be held responsible for any inability to access the service resulting from an incompatible, dead, or improperly configured device, or from the use of an email address different from the one provided at the time of booking.
6. One-time access
Hourly, half-day, and full-day passes are valid only for the date, duration, and person specified at the time of booking.
Unless more favorable terms are expressly stated at the time of booking, one-time access passes are non-refundable.
Time not used due to a late arrival or early departure cannot be carried over, split up, transferred, or refunded.
An extension can be made by placing a new reservation, subject to availability and before the current access period expires.
7. Passes and memberships
Passes and memberships access to the services and quotas specified at the time of purchase.
Credits, hours, or half-days included are personal and may not be transferred without Tchalo's express authorization.
Unless otherwise specified in the offer, unused units are not carried over from one period to the next and are not eligible for a refund.
memberships are automatically renewed at the start of each new billing period.
They may be canceled before the start of the next billing period, either through the procedure available on the platform or by writing to Tchalo. The cancellation takes effect at the end of the period for which payment has already been made. No pro-rated refund will be issued for the current period.
Tchalo may suspendMembership the event of nonpayment, misuse, or a serious violation of these Terms and Conditions.
8. Meeting Room
The meeting room can accommodate up to six people, unless otherwise agreed.
The reservation includes access to the amenities listed in the offer, including Wi-Fi, the Samsung Flip Pro interactive display, and the beverages provided.
The applicable rate is the one displayed on the platform at the time of booking.
Unless otherwise expressly stated, a room reservation may be canceled free of charge up to 12 hours before the start of the time slot. After that time, the full amount remains due.
The Customer who made the reservation is responsible for the behavior of the guests they host, for ensuring that the maximum capacity is not exceeded, and for tidying up the room after use.
Any overtime, special cleaning, missing equipment, or damage found may be billed.
9. Private Events and Other Events
A privatization request submitted on the platform does not automatically constitute confirmation.
The reservation becomes final after confirmation by Tchalo and, when required, payment of the agreed-upon amount or a deposit.
The Client must provide accurate information regarding the nature of the event, the schedule, the number of participants, and any special requirements.
Tchalo may refuse a request that is incompatible with the venue’s capacity, intended use, surrounding area, safety regulations, or the spirit of the venue.
Any special terms and conditions included in an accepted offer or quote shall take precedence over these General Terms and Conditions with respect to the matters they specifically address.
10. Behavior and Respect for the Premises
Everyone must behave respectfully toward other users, the neighborhood, staff, and facilities.
The Customer agrees, in particular, to:
- speak at a volume appropriate for a shared workspace;
- use phone booths for calls when the duration, volume, or number of people waiting warrant it;
- keep the areas clean and tidy;
- Follow the schedule and stay within the designated areas;
- Do not bring in any hazardous, illegal, excessively noisy, or potentially disruptive items;
- Do not allow anyone to enter who does not have a reservation or authorization;
- Follow the safety guidelines and reasonable instructions provided by Tchalo.
Smoking or vaping is prohibited inside the premises.
Tchalo may ask a person to leave the premises immediately and suspend their access in the event of behavior that is dangerous, aggressive, discriminatory, illegal, highly disruptive, or in violation of these Terms and Conditions.
11. Visitors and accompanying persons
Everyone coming to work at the coworking space must have their own reservation.
Client meetings, meetings, and group work sessions must be held in a suitable space set aside for that purpose.
The Customer remains responsible for any persons they invite or accompany and shall ensure that such persons comply with these Terms and Conditions.
12. Dogs
Dogs that are sociable, calm, and comfortable in shared spaces are allowed, provided they are under their owner’s constant supervision.
They must not disturb other users, damage the premises, or move about freely without supervision.
To ensure the comfort and safety of everyone present, Tchalo may ask that a dog be kept on a leash or be removed from the premises in the event of inappropriate behavior, a nuisance, or a problem with other guests.
13. Beverages, Meals, and Equipment
Coffee, tea, water, and other beverages listed as included are provided for reasonable and personal use.
Guests may bring their own meals and use the refrigerator and microwave, provided they follow hygiene guidelines and be considerate of other guests.
Available equipment may include, among other things:
- phone booths;
- a printer;
- an external monitor;
- an interactive screen in the meeting room;
- lockers;
- a refrigerator and a microwave.
Black-and-white prints may be included as part of reasonable use. Color prints or large print volumes may be billed according to the terms provided on site or by the relevant printing service.
Equipment must be used in accordance with its intended purpose and the instructions provided. The Customer may be charged for any misuse, loss, or damage attributable to the Customer.
14. Cancellation or Modification by Tchalo
Tchalo may, in exceptional cases, modify or cancel a reservation due to a technical issue, an unforeseeable event, a safety requirement, the unavailability of the venue, or any other circumstance that makes it impossible or unreasonably difficult to provide the service.
When Tchalo cancels a service that has already been paid for without being able to offer an equivalent alternative, the Customer may choose between rescheduling, a credit, or a refund of the amount corresponding to the canceled service.
No additional compensation is due, subject to applicable mandatory provisions.
15. Personal Belongings and Safety
The Guest remains responsible for his or her personal belongings, devices, documents, and valuables.
Any lockers that may be made available do not constitute a storage or safekeeping service. No items may be left on the premises after the reservation ends without prior approval.
Any theft, damage, incident, or suspicious behavior must be reported promptly to Tchalo.
16. Liability
Tchalo takes all reasonable measures to provide a functional, clean, and work-friendly environment.
However, Tchalo does not guarantee:
- a complete absence of noise in a shared space;
- uninterrupted availability of Wi-Fi or each piece of equipment;
- the compatibility of all devices with the equipment provided;
- the absence of disruptions caused by an external service provider, a system failure, or an event beyond its control.
The Customer must back up their data and take the necessary steps to protect their devices and documents.
To the extent permitted by law, Tchalo is liable only for direct damages resulting from a proven breach of its obligations. Any liability for indirect damages, data loss, loss of revenue, business interruption, or lost opportunities is excluded.
No provision of these Terms and Conditions limits liability that cannot be excluded under applicable law, particularly in cases of fraud or gross negligence.
17. Force Majeure
Neither party shall be liable for any delay or failure to perform resulting from an event beyond its reasonable control, including, but not limited to, a general breakdown, a power outage, a fire, a flood, a government order, an epidemic, a strike, an inability to access the building, or a similar event.
The affected party shall notify the other party within a reasonable time and, to the extent possible, seek an alternative solution or a postponement.
18. Personal Data
Personal data is processed in accordance with applicable Swiss law and Tchalo's Privacy Policy.
In particular, they may be used for creating accounts, managing reservations and memberships, processing payments, issuing invoices, ensuring access security, operating services, and handling communications necessary for our relationship with the Customer.
The necessary data may be processed by service providers involved in the provision of services, including the booking platform, payment services, Tapkey, the web hosting provider, and the technical service providers described in the Privacy Policy.
Tchalo does not sell its customers' personal data.

19. Changes to the Terms and Conditions
Tchalo may amend these Terms and Conditions to reflect changes in its services, tools, rates, or applicable laws.
The version applicable to a one-time reservation is the one accepted at the time of booking.
Significant changes to a Membership will be communicated to the Customer before they take effect. If the change substantially alters the service to the Customer’s detriment, the Customer may cancel their Membership the end of the period Membership which payment has already been made.
20. Partial Invalidity
If any provision of these Terms and Conditions were to be declared null and void, invalid, or unenforceable, the remaining provisions would remain in effect.
The provision in question would be replaced, to the extent permitted by law, with a valid provision that most closely approximates its original purpose.
21. Governing Law and Jurisdiction
These Terms and Conditions are governed by Swiss law.
Subject to any applicable mandatory jurisdiction rules, particularly those governing contracts with consumers, the place of jurisdiction is the registered office of Tchalo Work Lounge Sàrl, in Lausanne, in the canton of Vaud.
